How to obtain a RPC (request for Police Clearance) in South Africa

If you need a Police Clearance Certificate (PCC) for certain vehicle-related processes, you must first apply for a Request for Police Clearance (RPC) certificate. This requirement was introduced following amendments to the National Road Traffic Act Regulations in 2012. Below is a step-by-step guide on how to apply for and obtain an RPC certificate and complete the police clearance process.

When should you obtain an RPC certificate?

You will need to obtain an RPC certificate if:

  • Ownership of the vehicle has changed.
  • The engine has been replaced.
  • Your vehicle was reported stolen and later recovered.
  • The engine or chassis number differs from the number on the registration certificate (even by one digit).
  • A previous owner did not supply the necessary documentation.
  • The Vehicle Identification Number (VIN) has been updated.
  • You are exporting or importing a vehicle.
  • You are permanently crossing the border, as some countries require police clearance to confirm the vehicle is not stolen.

How to apply for and obtain an RPC certificate

Step 1: Complete the application form

Download and complete the Request for Police Clearance (RPC) application form.

Step 2: Submit the application

Take the completed form along with the required documents to your nearest Motor Vehicle Registration (MVR) Centre or to a document concierge service such as Apostil.co.za.

Documents required:

  • Identity Document (ID)
  • Vehicle registration document (if you are the owner)
  • Letter of permission from the owner (if applying on their behalf)
  • Proof of purchase or affidavit (new owners must record the chassis number, register/license number, and vehicle make)
  • Acceptable proof of address

The police clearance process

Step 1: Receive the RPC document

Once you have submitted your application at the MVR Centre, you will receive an RPC document.

Step 2: Microdot fitment (if applicable)

Amendments to the National Road Traffic Act require all newly registered vehicles and those needing a PCC to be microdotted. If your vehicle has not been microdotted, visit a certified microdot fitment centre with your RPC document. Once microdotting is completed, you will receive a Microdot Certificate.

Step 3: Visit a Police Clearance Unit

Take your vehicle, RPC document, and Microdot Certificate to your nearest Police Clearance Unit. A Clearance Officer will inspect your vehicle and complete the relevant sections of the RPC document.

Step 4: Finalise the clearance process

Return to the MVR Centre where you initially submitted your RPC application. Submit the completed RPC document along with your vehicle registration document. Your clearance status will then be updated.
